This well-established government department based in Wynyard are seeking a strong executive assistant to support the team.
Your new role
The Executive Assistant provides a range of executive support and administrative services to facilitate the delivery of business operations and to support the senior executive/s achievement of organisational objectives.
Your main responsibilities will include:
- Oversee and coordinate the delivery of administrative and support services to ensure that business needs are met, including first level IT support, invoicing, and supplier payments
- Assess and prioritise requests to facilitate the optimal use of the executive’s time
- Manage the executive/s diary, coordinate travel arrangements, and schedule and support meetings to facilitate the effective management of their agenda
- Draft and prepare correspondence, agendas, minutes, presentations and briefing notes to support the achievement of business requirements
- Gather, collate and provide background information for the executive/s to support informed decision making and planning
- Maintain and update administrative practices, systems and procedures to improve efficiency and service delivery and ensure compliance with STC’s standards, policies and procedures
- Manage office facilities and logistics, including office management tasks as directed. Ensuring that all information is up to date and that team members are aware of procedures and obligations regarding emergency evacuations, health, safety and IT security
- Liaise with external providers as required to set expectations and ensure that services meet STC’s requirements
What you'll need to succeed
- Be tech-savvy and confident navigating between multiple systems at a time, as well as competency with the Microsoft Office suite (Word, Excel, Outlook)
- Diary management experience
- Invoicing experience
- Have strong attention to detail skills and a proactive nature
- Approachable with great interpersonal skills, with the ability to work effectively and emphatically
- Deadline driven with strong attention to detail and the ability to manage your own workload

You will be working for a reputable government organisation in a supportive environment. Their office is based in Wynyard and will require you to work in the office 3 days per week and from home the rest of the week. This permanent role is paying $86K per annum incl. super
