Your new role

As an Executive Assistant (EA) you would be responsible for:
  • Reading, researching, and routing correspondence; drafting letters, memos and documents; collecting and analysing information
  • Planning and proactively reviewing Executive's internal and external appointment schedule
  • Maintaining client and other stakeholders’ confidence and protecting operations by treating information with confidentiality, integrity and maturity
  • Screening and directing phone calls, emails and distributing correspondence
  • Arranging both regional and international travel requirements
  • Liaising for Board Chairman EA, SPOC, Ext meetings and company events
  • Taking minutes and preparing reports for Executive team and functional meetings
  • Assisting with preparing Board reports
  • Preparing and formatting other presentations and reports as required
  • Reviewing and processing incoming tax invoices on behalf of Executives, prepares weekly, monthly or quarterly office management reports
  • Processing and reviewing Executives expenses (credit card or reimbursement)
  • Assisting with any other ad hoc administration requests
  • Maintaining professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
  • Managing a Personal Assistant, assisting with prioritisation of work and fostering their development, ensuring their success
  • Assisting with managing the Office Receptionist
  • Monitoring, implementing and evaluating administrative practices, systems and procedures to optimise efficiency and support the delivery of quality outcomes
  • Other duties as directed

What you'll need to succeed

  • Extensive Executive Assistant experience
  • Experience working within an international environment (preferred)
  • Professional verbal and written communication skills
  • Excellent Microsoft Office skills including PowerPoint, Teams, Word, Excel
  • Experience in event/workshop organisation
  • Time management skills and high attention to detail
  • Discreet and able to maintain confidentiality
  • Ability to work well under pressure and to deadlines
  • Mature approach with ability to work unsupervised
